Open Enrollment

 

Open Enrollment allows employees to make changes to designated benefit plans during an open enrollment period.

For Administrators

Setup is required by an authorized user using the Open Enrollment gadget, accessible from the Benefits function in the View menu.

 

After Division Selection, you must create an Open Enrollment Period where:

Open Enrollment Number is a unique number for the period (different plans may have different periods).

Open Enrollment Name is a descriptive name for the period.

Period Start Date is the date open enrollment begins and changes can be made.

Period End Date is the date open enrollment ends after which changes can no longer be made.

Effective Date is the date plan changes take affect and update deductions.

If desired, click  to display a pop-up calendar for date selection.  

 

Once the desired Open Enrollment Period exists, you can associate it with a specific Plan.

To assign an enrollment period to a plan, click  next to the desired period. The Open Enrollment Periods page displays a list of  “Unselected Plans” that are designated (see Benefit Rule Management) as available for Open Enrollment for that period.

 

Select the plan, then click to assign the Open Enrollment Period (“FEB” in the example) to that plan.  

 

 

The plan will move to the “Selected Plans” area of the page.  

 

In Benefit Rule Management, the authorized user must review the settings in the Benefit Rule associated with the Plan to confirm that "The employee can change their own plan.".

 

Employee Open Enrollment

If the Benefit rule allows employees to make changes in their plan, even Employees without View permissions will see the View menu and the Benefits function after a successful login to VIP.

 

Clicking Benefits from the menu displays the functions available (highlighted in red).

Clicking on the Employee Benefits icon displays the Benefits – Employee [Enrollment] page, where the employee can enroll in a plan, view or change an existing plan's details, or unenroll from a plan.

The system displays only those plans with an appropriate Open Enrollment Period.
